Terms & Conditions – Captured by Matt / The Service Provider
These terms exist to ensure fairness, accountability, and clarity between me (“the Service Provider”) and you (“the Client”).
Please read through them carefully and raise any questions before making a deposit or full payment.

1. Fair & Transparent Use of Created Content
All photos and videos created by the Service Provider are supplied solely for the Client named on the invoice, and for the purpose stated on that invoice (e.g. the project or product description).
Content must not be shared, sold, or passed to any third party, or used for any other purpose, without prior written agreement between the Service Provider and the Client.
If content is shared with third parties without permission, a new invoice equal to the original shoot price will be issued to the third party.
If the content is intended for third-party use (e.g. a brand, agency, or publication), the Client must be transparent so the Service Provider can liaise with them directly and agree fair terms.
Content must not be re-edited, filtered, or altered using apps or software. Any re-edits or duplicate versions must be requested from the Service Provider and will be quoted separately.
Quoted prices do not include RAW imagery or footage. RAW files can be supplied at an additional cost if required.
The Service Provider may use completed content for online portfolios, websites, or social media to promote their work. The Client will always be tagged and credited appropriately. If the Client prefers to opt out of promotional use, this must be stated before the shoot date.
2. Payments, Cancellations & Fees
Shoots operate on a 50/50 payment structure – 50% deposit due within 24 hours of confirming the date, and the remaining 50% within 24 hours of Client sign-off (or within a timeframe agreed between both parties).
The 50% deposit secures the shoot date. No date will be held until this payment has cleared.
Late payments (deposit or balance) will incur a 5% charge per 24 hours overdue.
Standard turnaround time for edited content is 2–4 weeks.
If the Client requests delivery sooner than 2 weeks, a 10% “rush fee” (based on the original shoot price) will apply, payable with the final balance.
If the Service Provider exceeds the 4-week maximum return time, a 10% refund of the original shoot price will be provided for every 2 working days past the due date.
If the shoot is cancelled by the Client within 7 days of the booked date, the deposit is non-refundable.
7.1. If the shoot is cancelled by the Service Provider within 7 days, the deposit will be refunded in full, and either (a) the shoot will be rescheduled at no cost to the Client, or (b) a replacement Service Provider will be arranged (for filming only) at no cost to the Client.

If the Client requests a date change within 7 days of the shoot, a 25% rescheduling fee will be added to the final invoice.
Any venue hire or location fees are the responsibility of the Client unless agreed otherwise.
For campaigns or multi-shoot projects (4 or more sessions), a 20% project priority fee will be applied.
Requests for RAW files (photo or video) will be charged at 50% of the original shoot price.
Additional edited content requested after the initial agreement will be quoted separately based on the new deliverables.
Travel costs (public transport or mileage) will be added to the final invoice when applicable. Mileage is charged at the national average per mile for all travel over 50 miles round trip, calculated from the Service Provider’s main address and including all locations visited during the shoot.
For international shoots, all travel arrangements and costs must be covered by the Client in advance. Any extra travel-related costs incurred will be invoiced with receipts.
Clients are entitled to one full round of revision requests (any size list) free of charge, provided they are submitted within 5 working days of receiving the content.

3. Fair Expectations & Responsibilities
Both parties agree to be punctual and prepared. Please aim to arrive at least 15 minutes early, and ensure all required outfits, props, or materials are ready for use.
The Service Provider will deliver all content to the agreed brief. If the Client requests creative direction from the Service Provider, the final output will reflect their professional judgment, style, and interpretation.
If unforeseen issues arise on shoot day (e.g. weather, transport, equipment failure, or access problems), both parties will work together to find a fair and practical solution.
The Client must review and sign off the content within a reasonable time. Delays caused by slow feedback or indecision will not extend payment deadlines or delivery commitments.
The Client is responsible for briefing and managing anyone else involved in the shoot (models, staff, participants). This includes punctuality, props, wardrobe, and awareness of roles. The Service Provider cannot be held responsible if individuals are unhappy with how they appear in the final edit.
When the Client selects the shooting location, it is their responsibility to ensure the space is available, clean, accessible, and suitable for filming/photography (including light, noise, and decor).
The Service Provider will always use professional tools, royalty-free music, and appropriate editing software to create the best possible result. If the Client has specific requirements (e.g. preferred software, music licences, or formats), these must be stated before the shoot. The Service Provider cannot be held liable for any copyright or usage issues arising from Client-provided materials.
